To register your business centre on the Find Your Office website carries no fee and does not involve any annual membership fees, the content that is uploaded to the site (www.findyouroffice.co.uk) relating to your business centre will go live once you have accepted these terms and conditions either by tick box on the site or written confirmation by e-mail.
Find Your Office reserves the right to use the uploaded content relating to your business centre to advertise on third party websites, the content used on these websites will be consistent with what is used on our website (www.findyouroffice.co.uk).
New Client Introductions:
An introduction of a new client will be deemed successful when Find Your Office passes on details of a client and their requirements to a business centre. This introduction can be made by e-mail, telephone or fax. In the event of a business centre not receiving an introduction into their e-mail inbox due to the business centres spam or junk filtering, causing the introduction to appear in the junk folder, Find Your Office will still consider this as a successful introduction and will be due all fees outstanding in line with the terms set out in this document.
New Client Rejections:
When a business centre receives an introduction from Find Your Office it is assumed this introduction is automatically accepted, unless the business centre in question sends an e-mail to Find Your Office stating that the introduction is rejected along with the reason for the rejection, this rejection e-mail must be sent within 48 hours of receiving the introduction, failure to do so will result in the introduction being deemed as accepted and all fees outstanding will be payable to Find Your Office if the client happens to secure space at any business centre within the providers portfolio.
Confirmation of a client securing space:
If/when a client introduced by Find Your Office happens to secure space with the business centre/provider in question, it is that business centre/providers responsibility to supply Find Your Office with confirmation of this within 48 hours of receiving a signed licence agreement. The details required are client name, company name of the client, start date and length of term of the licence, monthly inclusive fee and the name of the business centre they have taken space at.
When a clients details are given to a business centre by Find Your Office it is understood that the said business centre strictly keeps these details for sole use only. These details must not be passed on to any third party including third party agents, brokers or any other business centres outside of the said providers portfolio without the permission of Find Your Office. If this so happens without the acknowledgement of Find Your Office, all fees resulting from any deal will be payable to Find Your Office and these fees will be the responsibility of the business centre/provider that the introduction was first made to.
When a client introduced to a business centre/provider by Find Your Office acquires tenancy or uses any of the services provided by the business centre/business centres within the providers portfolio (including but not limited to full or part – time office space, virtual office services, conferencing facilities, meeting rooms or co – working space) as a result of Find Your Office’s introduction, it is that business centre/providers responsibility to supply Find Your Office with confirmation of this within 48 hours of receiving a signed licence agreement. The details required are client name, company name of the client, start date and length of term of the licence, monthly inclusive fee and the name of the business centre they have taken space at. It is at this point that all fees will be payable. Find Your Office’s referral fees are 10% of the inclusive licence fee for a period of up to 12 months. If a business centre is running a promotion with an increased referral fee which is higher than 10%, Find Your Office reserves the right to accept this increased fee.
If a client signs up for an initial term which is less than 12 months, Find Your Office will be notified and paid a fee in line with the terms in this document for any renewals made within a 12 month period from the start of the licence, regardless of whether Find Your Office were involved in the negotiation of the renewal.
For licences which exceed 12 months but have rent free periods included within the first year, Find Your Office shall invoice according to the following structure: Monthly licence fee, multiplied by amount of non rent free months, divided by the total term in months, multiplied by 12 then multiplied by 10% or a higher fee if advised by the business centre.
Example: a client signs up for 24 months paying £3600.00 per calender month. There is an agreed 1 month rent free period during this 24 month term at month 1. The fee will be calculated as follows ( £3600 x 23/24 x 12) x 10% = £4,140.
In the event of a duplicate enquiry being received by a business centre from Find Your Office, this enquiry/referral should be overturned to the agent or broker who happens to arrange a viewing for the client at a business centre first, if this viewing results in the client securing space at the said business centre, the agent/broker who booked the viewing would be credited with the fee. In the event of the business centre arranging the viewing, the agent/broker who sent the introduction in first would be due the fee.
If it so happens that the client expands to a bigger office or begins to pay a higher licence fee within the initial 12 month period, it is the responsibility of the business centre to inform Find Your Office within 48 hours of the change in terms.
Payment of fees/commission:
The settlement of invoices are to be made upfront in advance for the full 12 month period as outlined in this document, in one single payment. All invoices are to be paid within 14 days. There may be some circumstances where Find Your Office will agree different billing cycles due to a customer not signing for an initial 12 month period. If a customer happens to vacate early or signs for less than 12 months then all fees will be calculated on a pro rata basis.
Change of ownership:
In the event of a business centre changing ownership, part of a group or a whole group being sold, it is the responsibility of the selling business centre/provider to inform Find Your Office of the change in ownership in writing or by e-mail. The new owners must also be made aware of all future referral fee obligations to Find Your Office and ensure that they are honoured. Failure to carry out this procedure will result in the selling business centre being responsible for any outstanding fees.
